Location: Longlake, Linbro Park, Johannesburg

Duration: 3 months

Job Purpose

The Logistics Coordinator (Receiving & Dispatch) is responsible for the effective control and management of inventory, receiving, dispatch, distribution, and storehouse operations. The incumbent will ensure accurate stock control, timely stock movement, inventory accuracy, compliance with company procedures, and support the efficient operation of the Stores function.

The role plays a critical part in maintaining stock availability, ensuring accurate inventory records, supporting field operations, and safeguarding company assets through effective stock control and reporting practices.

Key Responsibilities

1. Stock Control & Inventory Management

  • Receive, inspect, verify, and store incoming stock and equipment.
  • Accurately capture all stock movements in the inventory management system.
  • Issue stock, equipment, and replacement parts to Field Technicians and other authorised personnel.
  • Ensure faulty, damaged, or replaced components are returned and recorded before replacement stock is issued.
  • Maintain accurate stock records and inventory controls at all times.
  • Monitor inventory levels and proactively identify potential stock shortages.
  • Escalate low stock levels and replenishment requirements to the Inventory Manager.
  • Ensure all stock transactions are completed accurately and timeously.

2. Receiving, Dispatch & Distribution

  • Receive stock deliveries from suppliers and verify quantities against supporting documentation.
  • Record and process all incoming and outgoing stock transactions.
  • Prepare and dispatch stock to branches, agents, technicians, and service providers.
  • Ensure all dispatch documentation is accurately completed and filed.
  • Track dispatched stock and monitor return transactions.
  • Reconcile stock transfers, dispatches, and returns.
  • Investigate and resolve stock discrepancies and unaccounted stock movements.
  • Ensure on-time and accurate dispatch of all stock requirements.

3. Inventory Accuracy & Reporting

  • Conduct daily, weekly, and monthly stock counts.
  • Assist with cycle counts and annual stock audits.
  • Investigate stock variances and implement corrective actions.
  • Maintain accurate inventory records and system updates.
  • Compile and submit stock count reports and variance reports.
  • Ensure all stock documentation is accurately filed and available for audit purposes.
  • Generate inventory reports as required by management.
  • Maintain KPI and stock movement records.

4. Storehouse Management

  • Maintain a clean, organised, safe, and secure stores environment.
  • Ensure stock is stored correctly and protected from damage, loss, or deterioration.
  • Implement proper stock identification and labelling procedures.
  • Ensure optimal stock layout and space utilisation.
  • Perform regular housekeeping inspections.
  • Maintain good housekeeping and stock preservation standards.
  • Ensure restricted stock areas remain secure.

5. Compliance, Safety & Internal Controls

  • Adhere to company policies, inventory procedures, and internal control requirements.
  • Comply with Occupational Health and Safety (OHS) regulations and procedures.
  • Identify and report unsafe conditions, incidents, or risks to the Inventory Manager.
  • Participate in safety audits and inspections.
  • Ensure compliance with stock control processes and documentation requirements.
  • Minimise stock losses through effective controls and monitoring.
  • Support audit and compliance activities as required.

6. Operational Support

  • Support Field Technicians with inventory and stock requirements.
  • Respond efficiently to urgent operational stock requests.
  • Assist with warehouse and logistics-related activities as required.
  • Work overtime when operational requirements demand.
  • Collaborate with internal departments to ensure service delivery requirements are met.
  • Contribute to continuous improvement initiatives within the Stores and Logistics function.
  • Assist in maintaining uninterrupted operational support to the business.

Minimum Requirements

Qualifications

  • Grade 12 (Matric).
  • Diploma or Certificate in Logistics, Supply Chain Management, Inventory Control, Warehouse Management, or a related field will be advantageous.

Experience

  • Minimum 2-5 years experience in:
    • Logistics Coordination
    • Receiving and Dispatch
