Transport Operations Coordinator

The Client

The Role

Do to recent growth, we are now on the look out for an experienced Operations Coordinator.

In this role you will be responsible for coordinating daily pick-ups, allocating fleet resources, maintaining clear communication with drivers and operational teams, and supporting strong customer outcomes. You will help ensure collections are completed on the booked day and at the required time, while contributing to improved fleet utilisation, process adherence, safety, compliance and service performance.

Key Responsibilities

• Daily Fleet Allocation: Allocate pick ups, drivers and vehicles to support timely collections, balanced workloads and optimal asset utilisation.

• Pick-up Performance: Monitor booked, moved, bumped and missed pick ups, taking proactive steps to reduce service failures and improve collection performance.

• Operational Communication: Maintain regular contact with drivers, customer service, fleet, processing and depot teams to ensure pick up instructions are understood and followed.

• Customer and Stakeholder Support: Act as a key link between customers, drivers and internal teams, escalating issues early and supporting timely resolution of failed collections or service concerns.

• Process Adherence: Support driver compliance with required despatch processes, including PDA pick up compliance, appropriate pick up evidence and accurate system updates

• Continuous Improvement: Contribute to reviews of fleet utilisation, driver productivity, customer communication and pick up processes to improve service outcomes.

About You

• You have experience in fleet allocation, transport dispatch, despatch coordination or a similar logistics operations role.
• You can make sound allocation decisions in a fast-paced environment, balancing service requirements, driver availability, vehicle suitability and customer priorities.
• You are confident using transport management systems, reports and Microsoft Office tools to monitor activity, update records and identify trends.
• You communicate clearly and calmly with drivers, customers and internal teams, especially when resolving operational issues under pressure.
• You understand the importance of process adherence, safety, accurate documentation and compliant transport operations.
• You thrive in a busy, changing environment where accuracy, urgency and attention to detail are essential.

Key Measures of Success

• Pick ups completed on the booked day and within required service expectations.
• Reduction in missed, bumped or avoidable moved pick-ups through proactive allocation and communication.
• Improved fleet utilisation, driver productivity and allocation efficiency.
• Timely escalation and resolution of customer, driver and operational issues.
• Accurate system updates, reliable reporting inputs and strong adherence to despatch processes.
